Pricing and suppliers

Pricing in Vinstra Flow comes from several places at once. Product prices cover material, glass prices cover units, and cost configuration covers everything that turns material cost into a sale price: fabrication, fitting, overheads, profit, discounts and sales agent commission.

Get these wrong and every quotation is wrong in the same direction, so it is worth spending real time here.

Go to Config, Cost configuration. A cost configuration groups six sets of rates, each on its own section of the record:

  1. Select Add to create a configuration.
  2. Work through each section and enter your rates.
  3. Select Save.
  4. Open the configuration in the view screen and read each section back. The view is laid out the same way, which makes checking quick.

Change these only when you mean to. A cost configuration is the thing sitting behind every cost sheet, so an edit here changes what new jobs are worth.

Material prices live with the products themselves, in Inventory.

  1. Go to Inventory, Products.
  2. Select Product prices.
  3. Update the prices in the list.

A product record carries both a Cost and a Sale price, along with Unit, Stock unit and conversion factors. Make sure the cost you enter matches the unit you buy in. A price entered per metre against a product stocked in lengths is the most common way to get a cost sheet that looks plausible but is out by a factor.

Glass is priced on its own screen, at Config, Glass, Price. Load the glass records first, as described in Loading profile systems, then price them.

Vendors are your suppliers. The record is deliberately simple: Company name and Address.

  1. Go to Inventory, Vendors.
  2. Select Add.
  3. Enter the Company name and Address.
  4. Select Save.

You need vendors in place before you can raise a purchase order or a vendor order, so load them at setup rather than when someone is waiting on material.

Three more lists sit alongside vendors in Inventory and are worth filling in at the same time:

  • Manufacturers, which profile, hardware and product records point at.
  • Sale agents, which the sale agent section of cost configuration pays commission to.
  • Clients, for the customers you sell to.

Once prices and cost configuration are in, build one lead for a window you have quoted recently by hand. Open the lead view and compare the Cost sheet against your own figure. If the two agree you can trust the setup. If they do not, the gap is nearly always a missing hardware configuration or a product priced in the wrong unit.
